Position: Legal Assistant
Department: Employment Law

Reports To: Employment Law Department Manager

The Legal Assistant will work directly with and support the Employment Law Pre-Litigation Department. In addition, the Legal Assistant will work with other members of the Employment Law department, as well as other departments (i.e., Workers’ Compensation, Personal Injury, Administration, Intake, etc.), as assigned.  In addition, the Legal Assistant may be tasked with special projects on an as-needed basis requiring direction and guidance by Management and/or other Pod Leaders.

Primary duties/responsibilities include, but are not limited to:

  • Draft and finalize retainer and related forms for signed clients;
  • Act as interpreter in meetings with clients and review/scan documents to be maintained as client records;
  • Process correspondence, prepare mailings, and update tasks/deadlines daily;
  • Directly communicate with clients to answer questions, and give case updates;
  • File complaints and follow up on service of process;
  • Adhere to department litigation protocols, including timely preparation of correspondence, notices and court forms;
  • Assist with management of cases in state and federal court, and assist in the preparation of notices, motions, and pleadings by preparing shells, proofreading, and formatting;
  • Assemble documents for filing and lodging with court, and arrange copies of filings to be delivered to judge’s chambers;
  • Prepare shells for discovery, set up appointments to verify discovery responses, and prepare document production;
  • Draft, file, and serve notices and forms connected to settlement of cases such as Notice of Settlement, Request for Dismissal, and Notice of Entry of Dismissal;
  • Monitor receipt of settlement checks, draft the Distribution of Funds sheet, meet with clients to hand them their settlement check, and coordinate with our Marketing Department for reviews and testimonials;
  • Close physical and electronic file; remove any scheduled hearings in Outlook Calendar, and notify the Court via phone that case has settled when applicable; and
  • Scheduling interview appointments with potential clients to complete retainer package and gather facts regarding the incident; including managing appointment calendar for Intake Specialist
  • Review and scan documents to be maintained as client records;
  • Perform other duties as assigned by Management and/or Pod Leaders.

  • This position requires physical activity including, but not limited to bending, stooping, repetitive motion, and lifting of up to 20 pounds (lbs.). This position may also require sitting for prolonged periods of time.

Qualifications:

  • Minimum high school diploma;
  • Minimum 1-3 years working in a law firm;
  • Familiarity with Microsoft Office Suite (i.e., Outlook, Word, Excel) and other applications and/or systems (i.e., Adobe, Internet);
  • The right candidate will have excellent written and verbal communication skills; and
  • Bilingual, fluent in English and Spanish.
